Summer Abroad process for Graduate Assistantships

Attention:
Graduate Secretaries, Graduate Program Directors and GAADs

The process will be followed similarly as was followed for fall 2020 and spring 2021. Requests to work out of country and the forms and/or email communication will need to be sent to S21appts@msu.edu when there is a change to the appointment for an existing out of country approval or for a new out of country request.  The form can be found at https://exportcontrols.msu.edu/covid-related-appointments-abroad-summer-2021.  If out of country approval was received for spring and there is no change to the record units will work directly with HR, please see scenario 1 for details.

Scenario 1: Approval for spring and no change for summer

  • Approval was received for the individual to work out of country for spring 2021
  • The unit will submit the spring 2021 approval documentation to HR indicating that no change is occurring between spring 2021 to summer 2021 by using the below language and spring approved form. Units should add this language to the spring 2021 form and attach to the form. If the form has already been submitted, then please send an email to HR.GraduateAssistants@campusad.msu.edu  with this information for processing.
    • The unit will not need to reach out to Export Controls and Trade Sanctions (ECTS).
  • Language that the unit must use if no change has occurred:
    • The attached SS21 “appointment abroad” screening form is re-submitted for US21. I attest that (i) the course and/or research information provided on the form, (ii) the locale of proposed appointment abroad, (iii) the software and remote computer access to be utilized, (iv) the course instructor or research preceptor information, and (v) the most recent university/employer/military service information were correct on SS21 and are believed to remain correct for US21. I understand that any inaccuracies herein may subject the individual appointed abroad, unit staff, and/or the University to serious sanctions, and that the appointing unit remains responsible for promptly reporting to ECTS all later additions or modifications to the information now being provided.


Scenario 2: Approval for spring and there IS a change for summer

  • Unit received approval for individual to work out of country for the spring 2021 semester, however, for the summer 2021 semester changes have occurred such as but not limited to:
    • Teaching a different course number
    • Grad student assignment is different, i.e. TA to TE or RA or vice versa
    • Research or data search focus has changed, or new research is assigned

 

Scenario 3: New appointment for summer.

New appointments are generally ruled out, however, in certain extenuating circumstances the units should work with the GAAD who can work with the Graduate School to see if an exception can be made.
