Graduate Program Directors and Graduate Academic Program Coordinators
As a reminder, there have been changes to the process to appoint graduate assistants and establish their benefits and tuition waiver. The process still begins by entering a GA Appointment Form in the HR/Payroll system, but when appointments are approved, SIS will be updated automatically to reflect a tuition waiver and benefits for the student.
If a unit needs to provide a tuition waiver and benefits for a GA while the HR appointment paperwork is processed, they will have to enter a GA Residency Exception in SIS. This functionality replaces the Graduate Assistant - Registrar Coding List Form (G-List).
What do I need to do?
For any graduate assistant with appointment paperwork in process or not yet submitted, a GA Residency Exception code must be entered in SIS in order for FS 2022 bills to reflect the tuition waiver. This must be completed by close of business on August 9, 2022. For graduate assistants with approved appointments in the HR/Payroll system, no further action is required.
Directions on how to check the status of your GA appointment paperwork in the HR/Payroll system and how to enter the GA Residency Exception codes in SIS can be found via the SIS Training page or in this document. Tuition Waiver Reconciliation
Every semester there will be a reconciliation process to remove all tuition waivers and benefits for graduate assistants without an approved appointment in the HR/Payroll system. The cut-off date for this reconciliation process will be communicated to departments every semester. The fall semester 2022 cut-off date is September 30, 2022. If a graduate assistant is given the GA Residency Exception in SIS for FS22, and an approved assignment is not in the HR/Payroll system on September 30, 2022, the tuition waiver and benefits will be removed.
Access and Questions
Individuals who had access to the legacy G-List were granted access to this functionality in SIS. Additional staff needing access to this functionality will need to submit an eARM requesting the “GA Residency Exception” business role.
